Managing Payouts

Track your card payment earnings, choose when you get paid, and control who pays the processing fee — so you always know when money is arriving in your bank account.

Overview

Managing payouts lets you:

  • View your available and pending balance in real time
  • Choose a payout schedule — monthly (all plans) or weekly on Mondays (PRO)
  • See when your next payout is scheduled and whether your balance meets the minimum threshold
  • Review payout history with status tracking (Paid, In transit, Pending, Cancelled, Failed)
  • Browse individual transactions with filtering and CSV export (web)
  • Control who pays the card processing fee — you or your customer
  • Connect or disconnect your bank account through Stripe
  • Order a card reader or set up Tap to Pay from the same page

Note

Card payment processing is available on both FREE and PRO plans. Weekly payouts require a PRO subscription. Processing fee rates differ by plan — see the fee structure section below.


Prerequisites

Before you can receive payouts, you must complete Stripe Connect setup:

  1. Go to Payouts in the sidebar (web) or MorePayouts (mobile).
  2. The Activate payments card shows a checklist of what you need:

Australia Photo ID (driver's licence or passport), bank account details (BSB and account number), business tax number (ABN)
New Zealand Photo ID, bank account number, business number (NZBN)
United Kingdom Photo ID, bank account details (sort code and account number), Unique Taxpayer Reference (UTR)
  1. Click "Connect your bank account" (web) or tap "Connect bank account" (mobile — opens in browser).
  2. Complete the Stripe verification form. This takes about 2–5 minutes.
  3. When verified, a green "Active" badge appears on the payment account card.

Skipping Stripe (cash-only mode)

If you only accept cash:

  1. On the Payouts page, click "I only take cash payments".
  2. The page switches to cash-only mode with the message: "Online booking payments are disabled for your venue. Clients can book appointments but cannot pay online."
  3. To reconnect later, click "Enable online payments".

Your balance

Once your payment account is active, the Balance card shows:

Field What it means
Total balance Combined available and pending funds
Available to pay out Funds that are ready to be sent to your bank account
Pending Funds from recent transactions still being processed by Stripe (typically 2–7 business days)
Next payout The scheduled date for your next payout

A badge indicates your payout readiness:

  • "Ready to pay out" (green) — your available balance meets the minimum threshold
  • "Accumulating" (amber) — your balance is below the minimum; funds will accumulate until the threshold is reached

The balance refreshes automatically every 60 seconds.

Minimum payout threshold

A minimum balance is required before a payout is triggered:

If your balance is below the minimum on a scheduled payout day, no payout is sent. The funds accumulate until the next scheduled payout day when the balance meets the threshold.


Payout schedule

OpenChair processes payouts on a schedule — not in real time. Payouts are triggered by a daily job that checks whether today is a payout day for your venue.

Changing your schedule

On web

  1. Go to Payouts.
  2. In the balance card, find the Next payout row.
  3. PRO venues see an inline dropdown to switch between Weekly and Monthly.
  4. FREE venues see the current schedule with an "Unlock weekly" link that leads to the billing page.

On mobile

  1. Go to MorePayouts.
  2. The Payout schedule card shows two buttons: Monthly and Weekly.
  3. Tap your preferred schedule. The Weekly button is disabled for FREE venues with a PRO badge indicating it requires an upgrade.

A hint below the buttons shows the schedule detail:

  • Monthly: "Paid on the 1st of each month"
  • Weekly: "Paid every Monday"

Tip

Weekly payouts give you faster access to your earnings. If cash flow is important to your business, upgrading to PRO unlocks weekly payouts along with lower processing fees.


Payout history

The Payouts section shows your recent payout history (up to 20 most recent payouts).

Each payout displays the date, status, and amount. Status badges indicate:

Status Badge colour Meaning
Paid Green Payout has arrived in your bank account
In transit Blue Payout has been sent and is on its way
Pending Amber Payout is queued but not yet sent
Cancelled Grey Payout was cancelled before being sent
Failed Red Payout failed — check your bank account details

When no payouts have been sent yet, the section shows: "No payouts yet" with the message "Payouts will appear here once your balance reaches the minimum threshold on a scheduled payout day."


Transactions

The Transactions section shows individual payments received from customers.

On web

The transactions table shows the date, status, customer name or email, payment method (e.g. "Visa ···· 4242", "Card reader", "BECS Direct Debit"), and amount.

Filter pills above the table let you filter by: All, Succeeded, Incomplete, or Cancelled.

An Export button generates a CSV file (transactions-{date}.csv) containing all visible transactions with columns: Date, Status, From, Payment method, Amount, Currency.

Transaction status badges:

Status Meaning
Succeeded Payment completed successfully
Processing Payment is being processed
Incomplete Payment was started but not completed
Cancelled Payment was cancelled

On mobile

The same transaction list and filters are available. The payment method column is hidden to save space. A "Load more" button appears if there are additional transactions to load.


Processing fees

OpenChair charges a processing fee on each card transaction. The fee depends on your subscription plan, country, and payment channel.

In-person payments have no fixed fee component — only the percentage rate applies.

International card surcharge

An additional 1.8% surcharge applies when the customer's card was issued in a different country from your venue. This reflects the higher processing cost for cross-border transactions.

Who pays the fee

You can choose who pays the processing fee. On the Payouts page (web only), the "Transaction fees" card shows three options:

Option What it means
Absorb all fees (default) Customers pay the service price only. Processing fees come from your revenue.
Pass all fees to customer A processing fee is added to each transaction for the customer to pay.
Pass international card fees only Domestic cards are absorbed by your business. International cards attract an additional 1.8% fee for the customer.

To change the setting:

  1. Go to Payouts on web.
  2. Scroll to the "Transaction fees" card.
  3. Select your preferred option.
  4. The change saves automatically.

Warning

United Kingdom venues are required to absorb all processing fees. Surcharging on consumer payments is prohibited under the Payment Services Regulations 2017. The fee absorption setting is locked to "Absorb all fees" for UK venues and cannot be changed.


Payment account status

The payment account card at the top of the Payouts page shows your current Stripe Connect status:

Disconnecting your payment account

If you need to close your payment account:

  1. Go to Payouts on web.
  2. Scroll to the Danger Zone at the bottom of the page.
  3. Click "Disconnect".
  4. A confirmation dialog warns: "This will permanently close your Stripe account and cancel any pending payouts. This cannot be undone."
  5. Click to confirm.

Warning

Disconnecting your Stripe account is permanent. Any pending payouts are cancelled. If you reconnect later, you will need to complete the full verification process again.

The Payouts page is restricted to venue Owners only. Managers and Stylists see an "Access Restricted" message if they navigate to the page directly.

Troubleshooting

Issue Solution
Balance shows "Accumulating" but I expected a payout Your available balance is below the minimum threshold ($50 AUD/NZD or £50 GBP). Funds accumulate until the threshold is reached on a scheduled payout day.
Payout shows "Failed" status Check that your bank account details are correct in Stripe. A failed payout usually means the bank rejected the transfer. Update your bank details and the payout will be retried on the next scheduled day.
No payout on the 1st of the month Payouts are only triggered when your available balance meets the minimum threshold. If your balance was below the minimum on the 1st, no payout was sent. The next attempt will be on the next scheduled payout day.
"Setup required" or "Not connected" on mobile You have not completed Stripe Connect setup. Tap "Connect bank account" — this opens the setup form in your browser. Complete the verification and return to the app. Pull down to refresh the status.
Pending verification taking more than 2 days Stripe reviews usually complete within 1–2 business days. If your status remains "Pending verification" after 3 business days, check for emails from Stripe requesting additional documentation. On mobile, tap "Check progress" to open Stripe.
Cannot find fee absorption settings Fee absorption settings are only available on the web Payouts page. They are not accessible on mobile. UK venues cannot change this setting — it is locked to "Absorb all fees" by regulation.
Weekly payout option is greyed out Weekly payouts require a PRO subscription. On web, click "Unlock weekly" to view upgrade options. On mobile, the Weekly button shows a PRO badge when disabled.
Transactions not appearing New transactions may take a few minutes to appear. The transactions list refreshes every 60 seconds. If transactions are still missing after 10 minutes, check that your Stripe account status is "Active" with charges enabled.
Cannot access the Payouts page The Payouts page is restricted to venue Owners. If you are a Manager or Stylist, you will see an "Access Restricted" message. Ask the venue Owner for payout information.
