Intelligence Dashboard

See what's working, what's slipping, and what to do next — the Intelligence Dashboard brings together revenue, bookings, occupancy, customer metrics, and AI-generated insights in one place.

Where to find it — Web: Sidebar → Intelligence. Mobile: Intelligence tab in the bottom navigation bar.


Overview

The Intelligence Dashboard lets you:

  • Track key performance indicators — Revenue, Bookings, Avg Spend, Occupancy, Unique Visitors, Page Views, Booking Rate, and Mobile Share
  • Compare current performance against the prior period (same length, immediately before)
  • View your storefront booking funnel and compare against industry benchmarks
  • Read AI-generated briefings that summarise what happened and what to act on
  • Set revenue goals and track progress
  • Receive smart alerts when the system detects anomalies in your data
  • Explore deep-dive sections: Performance, Revenue Anatomy, Financial Controls, Operations, Growth & Retention, and Business Health

Note

All plan tiers can access the Headlines, Funnel, and Improve sections. The remaining sections — Performance, Revenue Anatomy, Financial Controls, Operations, Growth & Retention, and Business Health — require a PRO subscription. FREE users see a blurred preview with an "Unlock Pro Intelligence" button.


Date Range

A date range picker at the top of the page controls the period for all metrics and charts.

  • Default: Last 30 days (PRO) or last 7 days (FREE)
  • Maximum: 365 days (PRO), 7 days (FREE)
  • Persistence: Your selected range is saved per venue and restored on return visits
  • FREE users who select a locked preset are shown a lock icon; the server clamps the range to 7 days automatically

Tip

On mobile, locked presets appear dimmed with a lock icon. On web, they show a tooltip explaining the PRO requirement.


Dashboard Sections

The dashboard is divided into navigable sections. A sticky horizontal chip bar (SectionNav) at the top lets you jump between sections. On mobile, sections are collapsible zones — tap a heading to expand.

Headlines (All tiers)

The top section, visible to all users. Contains:

  • Smart Alerts — Anomaly cards that appear when the system detects unusual patterns (e.g., sudden revenue drop, spike in cancellations). Each alert includes a description and an optional action link.
  • Allergy Week Preview — Upcoming allergy considerations for the week (PRO only, self-hides for FREE).
  • Your Concierge — An AI insight card with two modes (see AI Briefing & Conversation below).
  • Overview Cards — Eight KPI cards in two rows (see KPI Cards below).

Performance (PRO)

  • Forecast — One-week-ahead projection for revenue and bookings, with an AI-generated outlook sentence.
  • Revenue Trend — Line/area chart of revenue over time within the selected date range.
  • Booking Volume — Bar chart of booking counts over time.

Revenue Anatomy (PRO)

  • What's Making Money — Service breakdown showing each service's share of revenue.
  • Your Team — Staff performance table comparing team members by bookings, revenue, and average ticket.

Financial Controls (PRO)

  • Payment Method Mix — Breakdown of payment methods used (card, Apple Pay, direct debit, etc.).
  • Commission Performance — Total commission earned by staff. Shows an empty state with a "Set up commission" link if no commission rules exist. See Commission Tracking.

Operations (PRO)

  • Backfill Recovery — Revenue recovered from no-shows and cancellations via the Backfill system.
  • Deposits — Deposit capture rate, total captured, and total forfeited. Shows "Set up deposits" link if no deposit rules exist.
  • Waitlist — Waitlist usage and conversion metrics.
  • Gift Cards — Outstanding balance, sold (30-day value + trend), redeemed (30-day value + trend), redemption rate, and cards expiring within 30 days. See Gift Cards.

Growth & Retention (PRO)

  • Engage — Campaigns sent, automations active, attributed bookings, attributed revenue, and unread conversations. Shows alerts if no campaign has been sent in 30+ days or if Reconnect is turned off. Links to "Go to Engage →". See Engage Overview.
  • Committed Series Revenue — Week-by-week bar chart of guaranteed revenue from recurring series bookings over the next 90 days. See Recurring Series.
  • Portfolio Insight — Engagement metrics on your portfolio images (self-hides if fewer than 5 views).

Business Health (PRO)

A dedicated zone with an AI-generated narrative and six analysis panels:

Revenue Concentration How concentrated revenue is across services or customers (Herfindahl index)

The Health Narrative card at the top of this section provides an AI-generated summary of your business health. It uses colour-coded labels:

  • Strong (green) — Business fundamentals are solid
  • Developing (orange) — Some areas need attention
  • Needs Attention (red) — Significant concerns detected

If AI generation is unavailable, a deterministic fallback summary is shown based on your health score.

Funnel (All tiers)

  • Booking Funnel — A four-stage funnel showing Views → Clicks → Booking Started → Booking Complete, with conversion percentages between each stage.
  • Industry Benchmarks — Anonymised aggregate metrics from other OpenChair venues, including average booking rate, average monthly views, and top-quartile booking rate. Comparison badges show "You're above average" or "Room to grow".

Improve (All tiers)

Contextual nudge cards that suggest specific actions to improve your storefront:

Eight cards are shown in two rows at the top of the Headlines section.

Each card shows:

  • The metric value for the current period
  • A trend indicator (up or down arrow) with the percentage change vs the comparison period
  • The comparison value (e.g., "vs $1,240")

AI Briefing & Conversation

The Your Concierge card on the Intelligence Dashboard provides AI-powered insights in two modes.

Briefing Mode

When you first open Intelligence, the card displays:

  • A narrative summary — 2–3 sentences summarising what happened during the selected period
  • Highlight bullets — 3–5 key data-driven insights
  • Suggested question chips — Contextual questions based on your data (e.g., "How do I fill my empty appointment slots?" when occupancy is low)

Suggested questions are data-aware for PRO users. Examples of triggers:

Conversation Mode

Tap a suggested question or type your own to enter a multi-turn conversation:

  1. Your question appears right-aligned in the chat thread.
  2. The Concierge responds with a markdown-formatted answer, drawing on your venue's data.
  3. Follow-up suggestion chips appear below each response.
  4. You can ask up to 5 questions per session. After question 4, a warning appears: "Last question for this session." After question 5: "You've reached the limit for this session (5 questions)." with a "Start new session" button.

To return to the summary view, tap "Back to briefing →".

Each conversation message costs 1 Spark. If your Spark balance is depleted, you'll see "You've used your Sparks for this feature" with a link to top up. See Understanding Spark (AI Credits).

Note

FREE users see a locked version of the Concierge card: a lock icon with "Unlock Your Concierge with Pro" and a description: "Get a personalised AI briefing summarising what happened in your business and what to act on." Tapping "Upgrade to Pro →" navigates to billing settings.


Email Digest

Subscribe to receive regular performance summaries by email.

  1. On the Intelligence header, tap the Email digest button (envelope icon).
  2. Choose a frequency:

  1. A toast confirms: "Digest updated to [frequency]" or "Digest turned off".

Note

Email digest is a PRO feature. FREE users see "Available on PRO." in the popover.


Revenue Goals

Set a revenue target and track progress directly on the Intelligence Dashboard.

  1. On the Intelligence header, tap the Goals button (target icon).
  2. Enter your revenue target and choose a period (monthly, quarterly, or annual).
  3. Goal progress appears on the Revenue KPI card and integrates with the AI briefing — the Concierge will reference your goal in its analysis.

FREE users see PRO-only sections behind a blur with an "Unlock Pro Intelligence" upgrade card linking to billing settings.


Mobile Differences

The Intelligence Dashboard has full parity on mobile with these layout adjustments:

  • Collapsible zones — On phones, PRO sections (Performance, Revenue Anatomy, etc.) are collapsed by default. Tap a heading to expand.
  • Pull-to-refresh — Swipe down to refresh all data.
  • Date range chips — Displayed as a horizontal scrollable row. FREE users see an inline hint: "Viewing last 7 days. Longer periods available on PRO."
  • AI narrative truncation — On phones, the narrative summary is truncated to 200 characters with a "Read more" link.
  • Quick Ask — Tapping a suggested question opens a bottom sheet for multi-turn conversation (instead of an inline expansion on web).
  • iPad sidebar — On tablets, the section navigation and layout expand to use available width.
  • Upgrade prompts — Instead of blurred previews, mobile shows individual upgrade gate cards per feature with the text: "Visit openchair.com to manage your subscription." (no direct billing links per App Store compliance).

Troubleshooting

Issue Solution
All metrics show zero Confirm bookings exist for the selected date range. Revenue only counts confirmed, completed, and arrived bookings — cancelled bookings are excluded.
Date range is stuck on 7 days You are on the FREE plan. Longer date ranges (14d, 30d, 90d) require a PRO subscription.
AI briefing says "Your AI-generated business summary will appear here once you have enough booking data" The venue needs at least 10 bookings before the AI narrative activates. Continue booking clients and check back.
"Unable to load business health data" with a "Try again" link A temporary server error. Tap "Try again" to retry. If the issue persists, check your internet connection.
Concierge says "You've used your Sparks for this feature" Your Spark balance is depleted. Top up your wallet in Settings → Billing. See Understanding Spark (AI Credits).
Storefront metrics are all zero Storefront events only appear once visitors interact with your public booking page. Share your booking link to start generating traffic.
Industry benchmarks say "Benchmarks available once more venues join the platform" Benchmarks require a minimum number of participating venues. This resolves automatically as the platform grows.
